Job Opportunity: Charity Administrator (part-time)

What we are looking for

We are seeking a reliable, diligent, organised, and motivated Administrator to join our small team. Your work will be crucial to the efficiency of the charity, enabling the smooth running of our systems and activities.

Main purpose of job

To provide administrative and book-keeping support to the charity and staff.

A4D is a leader in development of inspirational arts opportunities for early-stage dementia delivered with leading arts organisations.

  • Part-time: 21 hours per week
  • Salary: £22,000 – £26, 000 pa (pro-rata) dependent on experience
  • Reporting to: Outreach and Communications Manager
  • Location: One day a week working in London, 2 days working at home, with occasional days in London for events and activities

Key responsibilities

• Main point of contact via email and phone for public enquiries, artists, arts organisations, volunteers, families affected by dementia, carers, individual donors, and memory and care services
• Book-keeping, including maintaining accurate and timely records of income and expenditure on Xero accounting system; assisting on bank reconciliations; payroll and pension contributions; processing expense claims monthly; supporting CEO and Treasurer with monthly accounts and finance reports
• Managing event bookings, attendance records and monitoring and evaluation of our activities (including training sessions, arts workshops, fundraising and challenge events) and creating reports on these as necessary
• Co-ordinating administration and communications on key projects, such as with participants in the Royal Parks Half Marathon and donor outreach during The Big Give
• Thanking individual donors and maintaining records on Donorfy CRM database and other office systems
• Updating the website, including Arts 4 Dementia activities and arts events of other organisations nationwide
• Assisting the Outreach and Communications Officer with volunteer management including processing application forms, DBS checks and expense claims
• Reminder phone calls and emails to participants of our workshop programmes
• Preparing papers for and attending trustee meetings including taking minutes
• Additional support to staff as needed

Skills, knowledge and experience

Essential

Excellent organisational skills

A minimum of 1-2 years’ experience of book-keeping and financial administration

Excellent communication skills

Experience of administration and maintaining systems and processes

Ability to work reliably and independently, including problem-solving

Ability to work flexibly, responding to the changing demands and needs of a small, busy organisation

Desirable

Experience of customer service

Experience with WordPress or similar web content management system

Experience with Xero or similar financial platform

Experience with Donorfy or similar CRM

Experience of the charity sector

Interest in the arts

Arts 4 Dementia is a small charity but a leader in our field. We offer challenging arts programmes with arts organisations for people in the early stages of dementia and their companions. We train facilitators from around the country in early-stage dementia awareness and how to deliver effective arts-based activities for people living with dementia.  Our website provides a unique national mapped listing of arts workshops for people living with dementia enabling them to find local opportunities.  The charity is also playing a leading role in a national initiative for social prescribing (guidance from GPs and associated “link workers” towards activities for wellbeing) for people living with dementia.
